Media Library

The Media Library is the central storage for all images and files used in your WebCMS. You upload a file once and reuse it across pages, blog posts, content blocks, and brand settings — keeping your website consistent and avoiding duplicate files.

Uploading Files

  1. Navigate to Media Library in WebCMS.
  2. Click New Media.
  3. Select one or more files from your computer.
  4. The file will upload and appear in your library.

Supported file types include:

  • Images: JPG, PNG, GIF, WebP, SVG
  • Documents: PDF and common document formats

After uploading, you can edit the file's name, alt text, and title before saving.

Media Fields

Each file in the Media Library has three editable fields:

  • Name — the display name used to identify the file within the Media Library. This does not affect the file's public URL. Use a descriptive name so it is easy to find later (for example, "Easter Sunday 2025 – Worship Team" rather than "IMG_4823").
  • Alt Text — the alternative text read by screen readers for visitors using assistive technology, and displayed when an image cannot load. Write a concise description of what the image shows (for example, "Three volunteers greeting families at the church entrance"). Alt text is important for accessibility and should be completed for every image used on your website.
  • Title — an optional tooltip that appears when a visitor hovers over the image. This field is rarely required and can be left blank.

Finding and Browsing Media

  • Use the search bar to find files by name.
  • Use the file type filter to show only images, documents, or other specific types.
  • Files are displayed as a grid with thumbnail previews for images.

Using Media in Other Areas

The Media Library is not accessed directly when placing images — instead, most areas of WebCMS include an image or media picker field that opens the library for you. You select a file from your library rather than uploading it again. Media is used in:

  • Pages — the static banner image on any page.
  • Content Blocks — Card, Feature, and Grid block types each accept a media file.
  • Homepage Hero — the background media (image or video) in the hero section.
  • Brand Settings — your church's logo and favicon.

Automatic Image Conversions

When you upload an image, the system automatically generates resized versions for different display contexts — for example, a thumbnail for the calendar events page and a full-width version for the page banner. You do not need to manually resize or prepare multiple versions of an image. Upload the highest-quality version you have and the system handles the rest.

Editing Media Details

  1. Navigate to WebCMS > Media Library.
  2. Click any file to open its detail view.
  3. Update the Name, Alt Text, or Title fields.
  4. Click Save.

Deleting Media

Deleting a file removes it from every location where it is currently in use — pages, content blocks, and settings. Before deleting, verify the file is no longer needed anywhere on your site. The system will attempt to warn you if the media is currently in use.

  1. Open the file from the Media Library.
  2. Use the delete action to permanently remove it.

Frequently Asked Questions

What image dimensions should I upload for the best results?

Upload the largest, highest-quality version you have. For page banners and hero images, a minimum width of 1920 pixels at full resolution is recommended. The system will generate smaller sizes automatically. For logos, an SVG file or a PNG with a transparent background at least 400 pixels wide works well.

Can I replace an image without re-linking it everywhere?

At this time, uploading a new file creates a new record. To update an image across your site, upload the new file, then update each place where the old file was used to point to the new one.

Why does my image look cropped differently in different places?

The system generates different crop sizes for different contexts. A banner image may be cropped to a wide horizontal ratio while a thumbnail is square. This is automatic and follows the proportions required by each display area.

Is there a maximum file size?

The recommended maximum is 10 MB per file for images. Very large files may slow page load times for your website visitors. If your image file is large, consider compressing it before uploading.
